Vessel Notification

When a seagoing vessel calls at the port of Rotterdam it must make a so-called ‘vessel notification’. This informs Customs, the (State) Harbour Master and other logistics parties in time of the arrival of the vessel, its cargo and its country of origin. The vessel notification speeds up the logistics process and ensures faster turnaround time for the vessel.

Pronto

Pronto is a new application that shipping companies, agents, terminals and other service providers can use to optimally plan, execute and monitor all activities during a port call. This includes pilotage, terminal use and bunker services.

New: electronic notification of shiftings and departures 12 to 6 hours prior to ETD

Between February and May 2016, agents active in Rotterdam will be connected to Portbase’s completely renewed ‘Vessel Notification’ service. This service simplifies the advance electronic announcement of your port call, including all shiftings and departures. After being connected to the renewed ‘Vessel Registration’ system, agents are required to submit all notifications relating to shiftings and departures to the Harbour Master in electronic form. The final confirmation and order for nautical services will still be done over the telephone, for the time being. In addition, we have also expanded the ISPS report form, which ensures that as a responsible party, you continue to satisfy all legal requirements.

Vessel notification

Notification of the visit of a vessel must be given 24 hours before arrival. Notification can be given electronically using the Vessel Notification service of the Port Community System Portbase Rotterdam. This service makes it easy to fulfil all administrative obligations associated with the notification of a vessel’s visit. The vessel and the agent are responsible for reporting any changes, such as times and berths. This helps to prevent the distribution of unreliable information through the chain and ensures that the Harbour Master and other parties in the port are provided with correct information about the expected vessel visit.

Notification of infectious diseases

If an infectious disease is suspected to be present on board the vessel, a Port Health Declaration must be submitted.
